Terms of Service

1. Acceptance of Terms

By accessing or using the AutoICD API API service ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, do not use the Service. These Terms apply to all users, including developers, organizations, and any person accessing the API.

2. Description of Service

AutoICD API provides an automated medical coding API that processes clinical text and returns ICD-10-CM diagnosis codes using natural language processing and semantic matching. The Service is provided as-is for informational and workflow assistance purposes. It is not intended to replace professional medical coding judgment.

3. Account Registration

To use the Service, you must create an account and provide accurate, current, and complete information. You are responsible for maintaining the confidentiality of your account credentials and API keys. API keys are personal and non-transferable. You are responsible for all activity that occurs under your account, whether or not authorized by you.

4. Acceptable Use

The Service may only be used for lawful purposes in compliance with all applicable laws and regulations. You agree not to:

  • Reverse engineer, decompile, or attempt to extract the source code or underlying models of the Service.
  • Circumvent or attempt to circumvent rate limits, authentication, or other security measures.
  • Resell, redistribute, or sublicense access to the API without prior written authorization.
  • Submit content that is unlawful, harmful, threatening, abusive, or otherwise objectionable.
  • Use the Service in a manner that could damage, disable, or impair the Service or interfere with other users.

5. API Usage and Rate Limits

The Service is offered in tiers with different usage limits. The Free tier includes 100 coding requests per day and 1 API key. The Pro tier includes 10,000 coding requests per day and up to 5 API keys. Abuse, excessive usage beyond your tier limits, or circumvention of rate limiting may result in temporary or permanent suspension of your account.

6. Medical Disclaimer

THE SERVICE DOES NOT PROVIDE MEDICAL ADVICE. All outputs, including ICD-10-CM codes, confidence scores, and entity extractions, are generated by automated systems and are for informational and workflow assistance purposes only. Covered entities and healthcare providers retain full responsibility for final coding determinations, clinical decisions, and compliance with applicable regulations. AutoICD API is not a substitute for qualified medical coding professionals or clinical judgment.

7. HIPAA and Compliance

For users who process Protected Health Information (PHI), a separate Business Associate Agreement (BAA) is available and must be accepted before transmitting PHI through the Service. AutoICD API uses a stateless processing model as described in the BAA. PHI is processed in volatile memory and is never stored, logged, or used for model training.

8. Privacy Policy

Your privacy matters to us. This section describes what data we collect, how we use it, and your rights.

Data We Collect

  • Account information: email address and password hash, collected at registration.
  • Usage data: API request counts, timestamps, and rate limit metrics. We do not log request or response bodies.
  • Payment information: managed entirely by our payment processor (Paddle). We do not store credit card numbers or billing details on our servers.

Data We Do Not Collect

Clinical text submitted through the API is processed in volatile memory and is never stored, logged, cached, or used for model training. We do not retain Protected Health Information (PHI) in any form.

How We Use Your Data

Account and usage data is used solely to operate the Service, enforce rate limits, process payments, and communicate service updates. We do not sell, rent, or share your personal information with third parties for marketing purposes.

Cookies

We use essential cookies for authentication and session management. We do not use third-party tracking or advertising cookies.

Your Rights

You may request access to, correction of, or deletion of your personal data at any time by contacting us through your dashboard. Upon account deletion, all associated data (account information, API keys, and usage records) is permanently removed.

9. Intellectual Property

The Service, API, documentation, and underlying models are proprietary and protected by intellectual property laws. You retain ownership of the clinical text you submit and the coding results you receive. You may not copy, modify, or create derivative works of the Service itself.

10. Payment and Billing

Pro subscriptions are billed monthly through our payment processor, Paddle. By subscribing, you authorize recurring charges to your payment method. Cancellation takes effect at the end of the current billing period. No refunds are provided for partial billing periods. Prices are subject to change with reasonable advance notice.

11. Service Availability

The Service is provided on a best-effort basis. We do not guarantee any specific uptime or availability. We may modify, suspend, or discontinue the Service (or any part thereof) at any time, with or without notice. We shall not be liable to you or any third party for any modification, suspension, or discontinuance of the Service.

12. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, AUTOICD API AND ITS OPERATORS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOSS OF PROFITS, DATA, USE, OR GOODWILL, ARISING OUT OF OR IN CONNECTION WITH YOUR USE OF THE SERVICE. OUR TOTAL AGGREGATE LIABILITY SHALL NOT EXCEED THE AMOUNT PAID BY YOU TO US IN THE TWELVE (12) MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM.

13. Indemnification

You agree to indemnify, defend, and hold harmless AutoICD API, its operators, affiliates, and their respective officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or in connection with your use of the Service, your violation of these Terms, or your violation of any applicable law or regulation.

14. Changes to Terms

We reserve the right to update or modify these Terms at any time. Changes will be effective upon posting the revised Terms. Your continued use of the Service after any changes constitutes acceptance of the new Terms. We encourage you to review these Terms periodically.

15. Governing Law

These Terms shall be governed by and construed in accordance with applicable law, without regard to conflict of law principles. Any disputes arising under these Terms shall be resolved in the appropriate courts of competent jurisdiction.
